What ChatGPT is good at

A paid chat assistant is the best value in business software right now. For about USD 20 a month it will draft an email, tidy a proposal, summarise a 40-page contract, translate a supplier's message or give you ten names for a new product.

Most small businesses have worked this out. In a Goldman Sachs survey of 1,256 owners in early 2026, 76% said they were using AI, and 93% of those said it had helped.

Where a chat assistant stops

The trouble starts when a good answer depends on your business and general knowledge won't do.

It starts from what you give it. Ask what to charge for a job and you'll get a sensible figure for an average company. It hasn't seen your price list, the discount you gave this customer two years ago or the supplier whose costs rose last quarter. You can paste those in. Then you paste them in again next week.

Memory and projects help, up to a point. ChatGPT, Claude and Gemini can now remember things between conversations, and each lets you keep files in a project so you don't upload them every time. That's a real improvement, and it has edges. A shared ChatGPT project holds up to 25 files on the Plus plan and 40 on the Business plan, according to OpenAI's help pages in October 2026. The memory is a short list of things the assistant picked up from your chats, built to learn one person's preferences. Neither was designed to hold a price list with its exceptions, every customer's terms and five years of decisions.

Keeping it true is your job. A file in a project is a copy. When a price changes, the copy is wrong until somebody replaces it, and in a busy week nobody does. Three months later the assistant is answering confidently from an old price list.

The same survey shows where this leaves most owners. 93% say AI has helped. Only 14% say it has become part of how the business runs.

What an AI operating system adds

Can you build this yourself with ChatGPT?

Yes, and some owners should. Everything an AI operating system is made of can be put together by a patient person with a paid subscription. You'd need to:

  1. Write down how the business works: the offer, prices and their exceptions, customers, suppliers, decisions.

  2. Organise it so the assistant finds the right page and isn't swamped by everything at once.

  3. Write and test instructions for each job that repeats.

  4. Connect email, spreadsheets and accounts, and decide what it may do without asking you.

  5. Set up a record, and keep all of the above current.

Custom GPTs and AI agents, in plain words

Two terms come up whenever people compare these options.

A custom GPT is ChatGPT with a saved set of instructions and a few files, so you don't retype them. Claude's nearest equivalent is a Project. It suits one narrow job, such as answering questions about your returns policy.

An AI agent is an assistant that takes steps by itself. It opens the file, looks up the figure, drafts the reply and brings you the result to approve.

An AI operating system uses both ideas and points them at one business: many sets of saved instructions, several agents, and one written record they all read.

Which one do you need?

Three questions in order. One: is the job mostly writing, summarising or ideas? If yes, a chat assistant is enough. Two: does a good answer depend on your prices, customers or past decisions? If yes, write the business down first. Three: does the same work come round every week? If yes, build it into a system.

You've outgrown it when the same facts get typed in again and again, when two people get different answers to the same question, or when its answers are fine in general and wrong for you.
